ABOUT IMPACT PRIMARY CARE NETWORK

Impact Primary Care Network (IPCN) is a physician-led clinically integrated network (CIN) - a group of healthcare providers that collaborate to deliver efficient and affordable coordinated care to patients. We are leading a new approach to delivering whole-person care in Western North Carolina (WNC) – one that is deeply invested in our patients’ health and the health of our rural region. Our care management platform and services are designed to seamlessly integrate social health support with clinical care to improve patient health outcomes. IPCN supports primary care practices that are participating in innovative population health initiatives like NC Medicaid’s Healthy Opportunities Pilot and Medicare’s Making Care Primary model.
 
IPCN was founded by Impact Health, an Asheville-based nonprofit leading a network of more than 60 human service organizations participating in North Carolina’s Healthy Opportunities Pilot. HOP is a groundbreaking initiative to improve health that uses Medicaid funding to support social drivers of health across four key domains of need: food, housing, transportation, and interpersonal safety and toxic stress

SUMMARY

The Executive Assistant and Board Liaison (EA) will coordinate the workflow and provide administrative support to the Executive Director and Board & Committee members. The EA will assist with a wide variety of administrative functions. We are looking for a highly organized self-starter with demonstrated high-level interpersonal, verbal, and written communication skills. Attention to detail, professionalism, and considerable discretion are essential to this role. ROLE

Executive Support

  • Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines.
  • Schedule calls, meetings and manage inbound requests.
  • Ensure that the executives’ time is leveraged effectively, including engaging the right participants in and out of meetings and problem solving with stakeholders in advance to maximize their time.
  • Compose and respond to correspondence and edit the work of others.
  • Read and analyze incoming memos, submissions, and other correspondence, redistributing them as needed.
  • Maintain organized files and sort and distribute mail daily.
  • Arrange travel and track, organize, and submit expense reports.
  • Uphold a strict level of confidentiality.

Board Support

  • Maintain and draft, where applicable, Board and Committee documents including minutes, resolutions, and governing documents.
  • Act as the administrator of the Board portal using Board Effect platform.
  • Undertake research and prepare special materials, as requested by the Board, to effectively engage with internal and external stakeholders.
  • Track and assist in achieving pre-determined Board milestones, where applicable
  • Preparing expense reports for Board members.

Internal Partnerships

  • Work closely with other team members across the organization to continually improve and streamline processes.
  • Partner closely with team members within the organization for meeting coordination and internal communications.
  • Manage calendars - solving complex scheduling situations in a collaborative and team-oriented manner with others on the team.

Meetings & Events

  • Plan events, conferences, retreats, and other meetings
  • Research data to prepare documents and agenda for review and presentation to board members, staff, and other key stakeholders.
  • Reserve meeting rooms and spaces, coordinate room and A/V setup, and arrange catering.
  • Attend meetings to take minutes and distribute materials.

ATTRIBUTES & EXPERIENCE

Education

  • A high school diploma is required; a bachelor’s degree is preferred.

Work Experience

  • Four or more years of experience supporting at least one executive.

Competencies and Behaviors

  • Attention to detail and solid organizational skills.
  • Ability to meet tight deadlines while juggling multiple critical requests.
  • A proactive and creative approach to problem-solving with strong decision-making skills coupled with the ability to handle interruptions at any given moment.
  • Uphold a strict level of confidentiality.
  • Professional level verbal and written communication skills
  • Proficiency with multiple software packages, including MS Office.
  • A willingness/ability to adapt to upgrades and system changes.

WHAT WE OFFER

Salary starting at $75,000 to $83,000. The starting salary is commensurate with experience, which will be vetted through the interview process. All full-time team members can take part in a broad offering of competitive benefits, including:
  • 100% employer-paid medical, dental, vision, STD, LTD, Life and AD&D insurance.
  • Up to 6% match for 403b retirement contributions.
  • Annual PTO (4 weeks) & Sick (2 weeks).
  • 10 paid holidays, 5 paid Winter Break days.
