SUMMARY
The Office Coordinator plays a key role in creating a safe, organized, and welcoming environment for the team and guests at Dogwood Health Trust. This position supports daily operations through administrative tasks, logistical coordination, and operational support. Ideal for someone who thrives on variety and enjoys keeping things running smoothly, this role is central to maintaining an efficient and dynamic day-to-day workplace. This role requires an onsite presence five days per week.
RESPONSIBILITIES AND DUTIES
- Maintain a safe and secure environment for team and guests by following safety procedures and controlling access via the reception desk (monitor logbook, etc.).
- Handle internal and external inquiries and provide information as needed.
- Assist the Operations team with the ongoing management of the building.
- Support the administrative team in scheduling and coordinating arrangements for internal and external meetings and special events, including space reservations, room coordination, A/V setup, catering, and cleanup. Providing back up support as needed.
- Maintain a clean and organized workspace including the upkeep of the main entrance, conference rooms, kitchens, and communal areas.
- Answer general inquiries received by phone, email and in-person visitors, or direct inquiries to the appropriate team member.
- Perform other clerical duties such as filing, copying, transcribing, and faxing.
- Receive, sort, and distribute daily mail and package deliveries.
- Purchase and maintain inventory of office supplies and branded merchandise, and place orders to support various departmental needs.
- Stock conference rooms, copy rooms, kitchens, and other areas with necessary supplies.
- Assist with other administrative activities as requested.

Education/Certification
- High school diploma.
- Additional certification in office management is a plus.
Work Experience
- Prior experience in an office administration role or equivalent experience.
- Experience in customer service or community service setting.
- Proficiency with Microsoft Office Suite.
- Experience collaborating effectively with others across departments.

WORKING CONDITIONS
This role is non-exempt, full-time, on-site, Monday through Friday during business hours of 8:30-5. Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must be able to lift and carry parcels, packages, and other items up to 50lbs and navigate Dogwood’s office building.

The starting salary is commensurate with experience, which will be vetted through the interview process.
