Administrative Associate
Overview
This is a professional administrative position in the financial services industry, located in Brevard, NC. An Administrative Associate primarily supports the firm’s financial planners in administrative and client service tasks. This includes reception and client service, generating reports, basic data entry, appointment scheduling, and other general administrative and upkeep tasks. The Administrative Associate may attend internal meetings with planners to take notes and engage in follow-up tasks such as updating client relationship management software and providing communication to clients. The position is expected to staff in-person hours from 9:00 am through 4:00 pm with a one hour lunch break, Monday through Thursday and 9:00 am through 12:00 pm Friday, with a generally steady and a manageable level of work volume. A longer-term career path would lead to client services with licensing or operations specialization as the firm grows.
Compensation
- Salary: $44,000-52,000 annually based on relevant experience
- Compensation is based on full-time employment at 31 hours per week, including lunch breaks
- Bonus eligibility based on company profitability
- After 90 Days:
- 12-15 Holidays per year

Common Tasks
- Manage office reception and client service
- Maintain the office in an orderly condition
- Prepare and service meeting spaces
- Attend internal meetings, take notes, and assign tasks
- Basic financial plan data entry and client material preparation
- Answer basic questions for clients and forward client requests
- Complete basic client account paperwork
- Interface with custodial firms to obtain information or convey service requests
- Maintain information in the Client Relationship Management System
- Generate reports
- Broadcast client communications including digital newsletters, blog posts, and holiday mailings
Minimum Qualifications
- High School Diploma OR 1 Year of Relevant Work History
- Strong verbal and written English communication skills
- Professional and personable demeanor
- Strong organizational skills and attention to detail
- Ability to handle confidential information appropriately
- Comfort learning new technology and business systems
- Ability to work independently and follow through on assigned tasks
- Proficiency with basic computer applications
- Able to lift and carry up to 15 lbs
Preferred Qualifications
- Upbeat and personable
- Prior experience in finance, retail, reception, hospitality, and/or food service a plus.
- Proficient with basic MacOS, and Microsoft Office Software, including:
- Interest or background in financial services as a career path
