Hybrid (Asheville, NC; 1 day in office- Monday, 2 days remote-Wednesday and Friday)
Hours:
Part-time, Monday, Wednesday, Friday, 9:00am to 5:00pm
Job Description:
The Communications and Operations Assistant (COA) serves as the initial point of contact for potential clients and other external communication at Wildwood. External communications are received via the main company phone line, email account, and website inquiry form, all of which the COA will monitor. The COA will also assist in maintaining internal communication and coordination among the company owner, office manager, and forester team. This role collaborates with and reports to the company owner and office manager, and requires strong interpersonal communication skills. The ideal candidate will enjoy being in a public-facing, communications-heavy role.
Job Responsibilities and Tasks:
- Respond to external company phone calls, emails, and website inquiries
- Maintain internal communication among company owner, office manager, forester team and field team
- Maintain office supplies and manage inventory
- Respond to employment inquiries
- Assist with employee onboarding process
- Assist with company calendar organization management
- Coordinate team meetings, events and prepare agendas
- Create and update client and project records in Project Management System
- Create and maintain corresponding client and project folders in client file system
- Create and send client contracts
- Assist with reconciling and accounting timber settlements and load tickets
- Assist with recording and classifying expenses
- Assist with report and data submissions as necessary
- Assist with developing bids/proposals for larger scale state, federal and NGO projects
- Collaborate with GIS specialist on the geodatabase development and maintenance
- Additional duties as assigned
Skills and Qualifications:
Required
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Proficiency in Google Suite (Drive, Documents, Sheets, Calendar)
- Professional and approachable phone manner
- Strong interpersonal skills
Desired
- Experience with GIS software (QGIS, ArcGIS Pro)
- Associate’s or bachelor’s degree
- Prior experience as an administrative assistant or similar communications-heavy, public-facing role
Compensation:
- Hourly: $25-$30, based on experience and qualifications
- PTO and paid holidays (pro-rated)
